Presentation Guidelines

Dear Speakers,

  • Please make sure that you visit the Speaker’s Ready Lounge onsite – a minimum of 2 hours before you are scheduled to give your talk.
  • It is also recommended that you get familiar with the location of the session halls assigned for your talk/s.
  • Adhere to all Saudi Commission for Health Specialties (SCHS) and Saudi Exhibition and Convention Bureau (SECB) regulations on this website as well as all regulations sent directly to you.
  • All materials that you have provided must be your own original work and must not infringe upon the intellectual rights of any third party. The society/PCO is free from all claims of every kind on account of using your materials.
  • Adhere strictly to the time slot allotted and specified by your session chair.
  • Notify the society immediately in the event that an emergency prevents you from meeting your obligations as a speaker.
  • No compensation, honorarium, incentive, royalties, or reimbursement in connection with your presentation is due unless otherwise explicitly agreed upon by the society in a signed, written contract.
  • No promotional activities, marketing, or selling of any product or service is permitted during presentations.
  • The chairman of the sessions guarantees structural respect for speaking limits of moderators, panelists, and speakers alike.
  • The session slots must start on time and must not exceed the timeline parameters allocated.
  • In order to keep your talk accurately on schedule, consider pacing your structural slide deck layout at roughly one slide per minute.

Data Presentation:

The production team is utilizing Presentify to gather and verify all active presentation files.

The rooms you will be speaking in will be fully equipped for your presentation. We require all active slideshow instances to be driven natively from the production laptops and AV hardware setup. For security and configuration stability, personal laptops may not be connected or run in the session rooms.

Presentations should be natively formatted for a standard widescreen layout ratio (16:9). All files must be built inside standard PowerPoint presentation containers using the .pptx file extension extension. Do not save files as .ppt or .pps formats, as this could prevent formatting arrays from displaying accurately. Additionally, verify that your configuration files do not contain automatic slide advance timer rules.

If you have integrated heavy media layers or video files embedded directly inside your presentation decks, please provide a standalone backup asset copy of the exact video files alongside your document submittal. The .mp4 video format path container is highly preferred.


Fonts & Asset Configurations:

The staging display terminal equipment houses generic default typography sets standard to macOS environments, Windows 10 architectures, native PowerPoint builds, and core Keynote environments. Please avoid styling layouts around custom or purchased typography options, as missing fonts will distort formatting layers upon execution.

CRITICAL TIMELINE DEADLINE:
All presentation files must be submitted to the website link sent to you by email no later than 19 November 2026, at 5:00 p.m.

The Scientific Committee will continue to stream relevant updates to your email inbox if scheduling parameters change.

Onsite & Technical Preparation:

  • Presentation files must be explicitly developed in English. All final assets must match PowerPoint layout requirements and provide total PC standard compatibility.
  • Save your document using explicitly the .pptx format container flag to preserve structure paths.
  • Use the integrated 'Insert' command tool inside PowerPoint to embed links, standard images, and video assets properly.
  • Cap individual standalone sound clips and display video sizes below 1GB where applicable. Preferred formats include .mp4 and .wmv tags.
  • Perform a dynamic layout preview verify directly inside your designated lecture hall area during scheduled coffee or lunch loops. Complete this visual confirmation at least 30 minutes prior to your scheduled presentation block.
  • Arrive at the stage wings 10 minutes prior to session kick-off to touch base with panel moderators, verify speech mechanics, and confirm proper name articulation.
  • Maintain seating inside designated front rows for direct, optimized approach vectors to the primary stage layout.
  • Ensure automatic timing progression sequences are completely turned off, and disable network dependency rules inside slide modules.
  • Build individual presentation slides using clean text layouts limited to 6–8 total visible lines containing 5–6 concise words per string block.

Kindly remember that if an international speaker is independent (not sponsored) and has not finalized registration metrics before December 19th, 2026, global agenda changes require automated removal of their presentation title from active programs. Registered SORL members assigned to core agenda tracks will have access settings locked down 20–30 days prior to event kickoff. Connect with technical tracking if a registration prompt confirmation did not arrive.
